OurSQL Foundation, a Delaware nonprofit nonstock corporation. Meeting of the Board of Directors, held by video conference on October 9, 2026, at 13:02 UTC.
Directors present: Vadim Tkachenko, Matt Lord, Tomas Ulin, Zongzhi Chen, Peter Zaitsev, Jean-François Gagné.
Directors absent: Jaspreet Singh Bains.
Chair: Vadim Tkachenko, President. Minutes: Matt Lord, Secretary.
Six of seven directors were present, constituting a quorum.
1. Minutes of prior board meeting
The President presented the minutes of the previous board meeting and proposed publishing them on the Foundation website. No director objected, and publication was approved.
2. Activity report
The Board reviewed the Foundation’s activity report. Work to date includes website design and a content management setup, a blog with initial posts, an ecosystem resource hub highlighting community projects, an initial social media presence, and design tooling for shared materials.
The Foundation presented an ecosystem project spotlight at Percona Live Amsterdam, featuring several community projects.
A draft sponsorship benefits prospectus is in preparation, and the President invited directors to provide feedback. Directors discussed coordinating outreach to prospective supporters, and the President agreed to set up a shared tracker for this purpose.
3. Q4 2026 plan, work plan and budget
The President presented the Q4 2026 plan in three parts: a high-level overview, a detailed work plan, and a budget. Focus areas are ecosystem visibility (including an ecosystem map reviewed with project maintainers, with Zongzhi Chen as first volunteer), practical education (a one- or half-day technical event and best-practice articles), and support for local community meetups.
The currently planned conference presence for Q4 is All Things Open (Raleigh, North Carolina). FOSDEM (Brussels, February 2027) is planned next, and Percona Live (California, around May 2027) is under consideration.
Promotion and sponsor recognition. The Board clarified that the promotion budget covers the Foundation paying third-party newsletters, channels and creators to promote Foundation content, not sponsors buying placement. Directors agreed that general sponsor acknowledgment is acceptable, but sponsor messages will be subject to Board approval.
Delivery. Directors discussed delivery capacity and agreed the day-to-day lead should have flexibility to iterate on activities and drop those that do not work. Fundraising activities will be added to the work plan, and director volunteers are welcome. The administrative contractor may engage temporary outside help for event organization and audio/video editing. Percona will contribute technical review time in kind.
2027 sponsorship. The Board discussed the 2027 budget and sponsorship approach, including additional sponsorship tiers, sponsorships tied to specific programs such as commissioned technical content and community grants, and the value of early supporters, including individuals. Contributors of volunteer time will be recognized separately from sponsorship. Directors agreed outreach will be coordinated through the President.
Community and neutrality. Engagement on Q4 activities will be tracked to confirm the plan meets community needs, and directors welcomed critical community feedback. The President stated that sponsorship will not buy influence or board seats, and that the Foundation remains vendor-neutral.
Based on current spending projections, the Foundation has sufficient funds to sustain its activities for the next 12 months.
Vote. On a motion to approve the Q4 2026 budget, the motion carried.
4. Meeting cadence
The Board will meet quarterly, ahead of the quarter being planned, with additional meetings at the request of any director. The next meeting will be held in early December 2026 to plan Q1 2027.
5. Other business
The President will seek Board approval of the sponsorship benefits prospectus asynchronously.
6. Adjournment
There being no further business, the meeting was adjourned.
